Upon receipt of a booking request, ATB will issue a formal Confirmation Advice together with an invoice outlining the agreed services.
Payment Terms
- A 10% deposit of the total tour cost is required at the time of booking to secure services. The remaining balance is payable 45 days prior to the commencement of the tour.
- For bookings made within 30 days of arrival, full payment is required immediately.
- For tailor-made itineraries involving accommodations outside standard packages, ATB reserves the right to adjust payment schedules or request higher deposits in accordance with supplier terms.
- No services will be rendered unless full payment has been received. Payments must be made via bank telegraphic transfer to the designated ATB account.
Pricing Policy
Once the deposit has been paid within the stipulated timeframe, the agreed tour price remains fixed. However, ATB reserves the right to revise prices in the event of unforeseen circumstances beyond its control, including but not limited to changes in government taxes, park fees, or supplier rates.
Cancellation Policy
All cancellations must be submitted in writing to ATB. The following cancellation fees apply:
- 91 days or more before arrival: 10% of total tour cost
- 90 – 46 days before arrival: 25% of total tour cost
- 45 – 30 days before arrival: 50% of total tour cost
- Within 30 days before arrival: 90% of total tour cost
For date amendments made within 30 days of travel, the revised trip must take place within six (6) months of the original travel date to avoid penalties. Any subsequent cancellation will attract a 90% cancellation fee.
Provisional Reservations
Provisional bookings (submitted via email) are held for a limited period as follows:
- 121+ days prior to arrival: 14 days
- 120 – 61 days prior to arrival: 7 days
- Within 60 days of arrival: 3 days
All provisional reservations are subject to automatic release upon expiry of the holding period.
Tour Alterations
- ATB reserves the right to modify tour routes, accommodations, or arrangements where necessary due to operational, safety, or environmental conditions. Substitute services of equal value and standard will be provided where possible.
- ATB also reserves the right to decline or remove any participant from a tour if deemed necessary, with a fair and equitable refund issued where applicable.
Unused Services
No refunds will be provided for any unused portion of a safari or travel services, regardless of the reason.
Limit of Liability
Africa Travel Bureau Limited operates as a travel arranger and contracts independent suppliers such as airlines, hotels, and transport providers. These suppliers are not agents or employees of ATB.
Accordingly, ATB:
- Does not control supplier operations or pricing
- Cannot override supplier cancellation policies
- Is not responsible for airline penalties on non-refundable tickets
- Is not liable for delays, losses, injuries, or accidents caused by third parties
- Is not responsible for risks associated with adventure activities (e.g., wildlife encounters, balloon safaris, mountain climbing)
- Is not liable for disruptions caused by force majeure events such as weather, strikes, civil unrest, or government regulations
All travel is undertaken at the participant’s own risk, and personal belongings remain the sole responsibility of the traveller at all times.
Data Protection and Privacy
ATB is committed to protecting client information:
- Personal data is used solely for the planning and execution of travel services
- Information is shared only with relevant service providers involved in delivering the tour
- All authorized personnel handling data adhere to strict confidentiality obligations
Travel Insurance
ATB strongly recommends that all travelers obtain comprehensive travel insurance prior to departure.
Travel insurance helps protect against financial loss due to unforeseen events such as illness, trip cancellation, baggage loss, or emergencies. Without insurance, all additional costs incurred remain the responsibility of the traveler.
